How to monitor SMS delivery for clear results

An SMS that appears as sent is not automatically a read SMS, and a delivered SMS does not guarantee action from the client. If you want to know how to correctly monitor SMS delivery, you need to track more than just the total number of messages sent. You need clear statuses, updated data, and a practical way to separate technical issues from the actual results of the campaign.

For marketing teams, this data shows whether the message reaches the right audience. For product and development teams, it confirms that notifications, OTP codes, and transactional messages work in critical flows. In both cases, delivery monitoring reduces wasted costs and helps with quick interventions when the success rate drops.

What SMS delivery really means

In an SMS flow, there are several stages. The platform takes the message, sends it to the available route and to the mobile operator, and the operator tries to deliver it to the recipient's device. The final status depends on the confirmation received from the mobile network, usually called a delivery report or DLR.

That's why "sent" and "delivered" are different statuses. A sent message has left the platform but may still be processing, may be rejected by the operator, or may expire before reaching the phone. A delivered message has normally received network confirmation that it has reached the device or its delivery area.

However, delivered does not necessarily mean opened. SMS does not offer a universal read confirmation mechanism. For commercial campaigns, responses, unique promotional codes, completed orders, or traffic generated within a specific interval are better indicators of commercial impact.

How to monitor SMS delivery: the indicators that matter

Start with a simple rule: track results by campaign, segment, country, operator, and message type. A general delivery rate may look good but can hide a problem concentrated in a particular market, a recently imported list, or a routing path.

The delivery rate is calculated as follows: the number of delivered messages divided by the number of sent messages, multiplied by 100. If you sent 10,000 SMS and 9,500 were confirmed as delivered, the rate is 95%. However, its interpretation depends on the context. For operational alerts and OTP, a drop of a few percent can have a direct effect on authentication or customer experience. For a marketing campaign to an old database, the problem may be the quality of the numbers, not the sending infrastructure.

Track these four dimensions in each report:

  • Volume sent, delivered, pending, and failed, to quickly see where the flow stops.
  • Time to delivery, essential for one-time passwords, order confirmations, and urgent updates.
  • Error codes and reasons, showing if the number is invalid, unavailable, blocked, or if the message expired.
  • Results after delivery, such as responses, conversions, or completion of a verification flow.

Don't analyze these figures only at the end of the month. For high-stakes campaigns, check performance during sending. An unusual increase in failed messages can signal a format problem, an unvalidated list, or a change at the operator level.

Read statuses without assumptions

Names may differ from one platform to another, but the logic remains similar. The "queued" status indicates that the message has been accepted and is waiting for processing. "Sent" shows that it has been transmitted to a partner or operator. "Delivered" confirms the positive result received from the network.

The "failed" status requires attention, as it can have different causes. The number may be invalid, the phone may be turned off for too long, the subscriber may no longer exist, or the operator may reject the message due to policy, content, or routing restrictions. "Expired" appears when the message could not be delivered within the configured validity period.

Don't treat all failures the same. An invalid number should be removed or corrected in the database. A temporarily unavailable phone can receive a new attempt if the message type and validity period allow it. For an OTP, resending too late does not help the user and may increase the risk of confusion. For a non-urgent notification, a longer delivery window may be justified.

Build a useful dashboard

An efficient dashboard doesn't have to be overloaded. It should quickly answer a few operational questions: how many messages have arrived, where delays occur, which segments have poor performance, and what action needs to be taken.

Set separate reports for marketing, transactional, and authentication. These flows have different objectives. A promotional campaign can be evaluated by delivery, response, and conversion. An order confirmation message must arrive promptly and consistently. An OTP code is evaluated by delivery time, validation rate, and the number of necessary resends.

For large volumes, create automatic alerts. For example, you can receive a notification if the delivery rate for a country falls below the set threshold, if the average delivery time increases above the accepted level, or if an error code suddenly appears in large volume. The appropriate threshold differs by industry, country, and traffic type, so don't copy a standard without comparing it to your historical performance.

If you send via API, keep the unique identifier of each message in your system. This way, you can correlate the initial request, the delivery report, and the user's action. In a verification flow, this correlation can show if abandonment is caused by slow code delivery or an unclear step in the interface.

Improve delivery before sending

Monitoring is more valuable when it leads to concrete actions. The first measure is database hygiene. Normalize numbers in international format, remove duplicates, and check if you have the necessary consent for commercial messages. Clean lists increase the delivery rate and reduce payment for messages that have no real chance of reaching.

Number verification services, such as HLR lookup and MNP lookup, can add a useful level of control before sending. They help identify inactive or ported numbers and can guide routing and segmentation. They are not a substitute for delivery reports but reduce uncertainty before launching a large campaign.

Also, check the content. Messages that are too long can be split into multiple segments, which affects cost and sometimes the recipient's experience. The sender's character, called Sender ID, must be configured according to the rules in the targeted countries. In certain markets, an unaccepted Sender ID can cause filtering or replacement.

When to investigate a drop in delivery rate

A lower than usual rate does not automatically mean the platform has a problem. Start the investigation by comparing the current data with the history, then segment the results. If the drop appears only in one campaign, check the list, number format, message, and targeted market. If it appears in all flows, including transactional messages, analyze the route, operators, and any technical changes.

Always test before a large volume. Send messages to test numbers from different networks and check not only reception but also the display of the Sender ID, diacritics, segmentation, and delivery speed. This step is simple but prevents errors that become costly with tens of thousands of recipients.
